The Wisconsin State Fair Marketing Division is responsible for cultivating, managing, and executing all corporate and in-kind partnerships for the annual Wisconsin State Fair, Harvest Fair, and year-round annual assets. The team is also responsible for external and internal marketing efforts including management of multiple websites, digital marketing, printed collateral, social media, community affairs and strategic promotional campaign development with agency of record.

The Marketing and Sponsorship Assistant serves a key role in the execution of a comprehensive portfolio of corporate and in-kind partnerships, aids in the execution of sponsor-driven corporate events, collaborates on a variety of partner promotions, and supports the overall goals of the Marketing Division.

This role is an unclassified, Limited Term Employment (LTE) position within the State of Wisconsin employment system. Hours will fall between 10-40 hours per week, gradually increasing to 40+ hours per week from mid-May through the annual Wisconsin State Fair. Hours can be flexible around classes for students.
This position has the potential to move into a year-round, 40 hour per week role after the annual fair concludes in August, for the right candidate. The position may also be considered an internship for current students who are interested.

The hourly wage is $12.00 per hour.

This position is open to all State of Wisconsin residents who meet the outlined criteria.

Sponsorship Fulfillment:
    • Assist in the administration and database management of 150+ sponsorship contacts including the following tasks as they pertain to sponsorship fulfillment:
      • creating and distributing sponsorship contracts
      • fulfilling and distributing ticket requests
      • fulfilling and receipting utility orders for space sponsors
      • gathering information from sponsors for collateral materials and website
      • overseeing a checklist for each individual account, including distribution of partner assets
    • Assist the Sponsorship Specialist in the execution and ticket fulfillment efforts for trade partnerships by using clear and reliable communication between partners and other WSFP departments
    • Collaborate with the Public Relations Manager and Sponsorship Specialist on sponsor-driven social media campaigns across all social media platforms

    • Assist with the on-site execution of corporate partnerships – specifically day sponsors – including event coordination and communication, set up, lifting of event materials, signage installation, and any other physical labor as needed
    • Manage coordination & fulfillment efforts of the Veterans Resource Expo – including the communication with participating groups, activation layout, and execution of event
    • Assist sponsor coordination & fulfillment efforts of special events
    • Collaborate with Creative Design team to create signage for any sponsored events as required per the contract
    • Assist in the planning and execution of annual Sponsor Recognition Events held during the Wisconsin State Fair
    • Attend meetings with sponsors, vendors, promotional partners, etc. regarding various sponsor-related promotions
    • Assist the Sponsorship department with other sponsorship fulfillment related responsibilities including note taking, meeting minutes, research, follow up, analytic reports, etc.

Additional Duties in Support of the Marketing Division:
    • Assist the Chief Marketing Officer and Sponsorship Specialist with the Employee Merchandise Program
    • Assist in the execution of partner promotions, including but not limited to the Lakeshore Chinooks, Milwaukee County Zoo, BloodCenter of Wisconsin, the Milwaukee, Waukesha and Jefferson County public libraries, and many community festivals within the State of Wisconsin.
    • Ensure reliable communication within the Marketing Division as a whole, including accurate note taking and distribution at departmental meetings, marketing committee board meetings, and various administrative tasks associated with the department as needed

    • College junior or senior, preferred
    • Preferably working toward a degree in Marketing, Business, or Communications
    • Proficiency in all Microsoft Office programs
    • Client Services, sales and/or event coordination experience, preferred
    • Creative experience and knowledge of graphic design programs, preferred
    • Knowledge of the Fair and agriculture industry preferred, but not required
    • Must be willing to get your hands dirty as necessary, minimal manual labor, required
    • Ability to lift 30+lbs with or without accommodation
    • Ability to work well in a team environment and function with minimal to moderate supervision
    • Ability to withstand an ever-changing, fast-paced environment and remain calm under pressure
    • Ability to work extended hours, including weekends, at times leading up to and during the Wisconsin State Fair (June, July and August)

Candidate must be able to work all 11 days of the annual Wisconsin State Fair; for 2022 these dates are August 4 – 14, 2022. Prior to appointment to this position, the candidate will be subject to a comprehensive criminal background check.:
